Administration and Finance Staff Position

I. About YRE

Yayasan Rumah Energi (YRE) was established in 2012 in the social and humanitarian fields. The organization is mandated to contribute and create positive impacts on poverty alleviation, strengthening the livelihood of grassroots’ communities, adaptation and mitigation to climate change and assisting in disaster risk reduction through innovation and shared knowledge. Our flagship program is the Indonesia Domestic Biogas Program (BIRU). BIRU has facilitated the installation of 27,909 biodigesters in 16 provinces across Indonesia. The program has impacted over 129,684 people among which 27.912 people are farmers; trained 1,458 local masons; 153 local partner including Micro Finance Institutions, SMEs and universities. YRE has also been providing social business incubation assistance to women entrepreneurs through our Pro Women, Puan (Desa) Inspiratif programs and Sustainable Cacao Farmers and Organic Fertilizer Market (SCORE) Project.

In 2022, YRE together with its partners will implement a 3 (three) year project named the Local Milk Sourcing (“LMS”) Project in Central Java, Special Region of Yogyakarta (DIY) and East Java. The LMS Project’s objective is to strengthen the economic, social and environmental resilience of local dairy farmers through in-depth Good Farming Practice trainings, procurement of goods and services, installation of biodigesters and small-scale pilot activities. Currently, YRE is looking for a Administration and Finance Staff to support the LMS Project in achieving its objective, milestons and KPIs. The Administration and Finance Staff will be posted in the project office in DIY.

II. About Local Milk Sourcing Project

The Local Milk Sourcing Project (“the Project”) is a collaboration project between YRE, dairy company and Promoting Rural Incomes through Support for Markets in Agriculture (PRISMA) (“Project Partners”). The 3 (three) year project will empower 480 dairy farmers in Central Java, DIY and East Java as direct beneficiares and 1,479 indirect beneficiaries. The project aims to strengthen the resilience of local dairy farmers by increasing dairy productivity, increase capacity of local dairy cooperatives and farmers in Good Farming Practices, improving environmental management through biogas installation and carry out small-scale piloting initiatives to improve farmers work efficiency in dairy production and quality.

III. About the Post

The Administration and Finance Staff primary responsibilities are would be expected to assist Program Manager in carrying out financial administration works in compliance with Standard Operations Guideline

Task and Responsibilities

The Administration and Finance Staff will be tasked with the following duties:

  1. Administration:
    1. Prepare for the opening of the project office includes finding an office for rent and preparing all necessary office inventories.
    2. Provide administrative & secretarial support of the project.
    3. Providing, distributing, and tracking office supplies and office sundries
    4. Tracking and monitoring communication, internet and electricity utilities of the office
    5. Maintain well-ordered administration and filing system in compliance with administration requirements and procedures and Standard Operating Procedures;
    6. Organize travel and accommodation of staff and guests;
    7. Organize logistic matters of meetings, events of the project
    8. Handling in procurement & logistical tasks (find quotations and prepare purchase and/or bidding documents)
    9. Administer the monthly time sheet all team
    10. Manage car/vehicle usage
  1. Finance:
    1. Manage petty cash fund and its administration to ensure smooth daily office operations.
    2. Prepare transfer requests for payment to be reviewed and approved by the Project Manager.
    3. Deposit all cash received to bank account.
    4. Prepare and check the accuracy of advance liquidation report from staff and ensure the completeness of supporting documents, record the expenses and remind staffs who still have outstanding advances.
    5. Filing all financial documents in accordance with the Standard Operating Guidelines.
    6. Perform other duties as may be assigned by Finance Manager or Project  Manager

IV. Knowledge, Qualifications and Experience:

The Administration and Finance Staff is expected to have the following qualifications:

    • Educational background of Bachelor’s degree in the field of Economy/Accounting
    • Minimum 3 years proven work experience in similar position/responsibility preferably in similar industry
    • Strong administration (secretarial) skills
    • Advanced knowledge of major software applications (Excel, Word, PowerPoint)
    • Understand accounting process
    • Able to work independently and take initiatives, but also be a team worker
    • Having experience working with NGO/donor program/CSR is a plus
    • Good understand about application of taxes on financial transactions

V. Term of Employment

The appointment is a full-time position of 40 hours per week. YRE offers a one-year contract with possibility of extension. The post holder will be based in DIY project office.
